Correcting bid terms and reading them with AI

If a supplier's payment terms, delivery, shipping or warranty details are missing or wrong, correct them; optionally let AI read the bid note and documents and suggest values.

All topics for buyers

Suppliers sometimes write their terms not on the form but in their note or in an attached document, and sometimes not at all. Missing terms show up empty in the bid table. You can correct the terms yourself after the envelope opens.

Step by step

  1. After the envelope opens, click Terms on the bid's card in the Received Bids tab.
  2. The window opens with the payment terms (days), delivery time (days), shipping (Not reported, Included in price, Excluded) and warranty (months) fields as the supplier entered them.
  3. Optionally click Read with AI. AI reads the bid note and the documents attached to the bid, fills the fields with suggestions, and says how many documents it read and how confident it is.
  4. Check the suggestions, correct them by hand if needed and click Save.
Nothing is saved without your approval

AI only fills in suggestions. The table shows the values you Save.

If the AI reading notices that the prices in the bid are written including VAT, it warns you separately: tenders collect bids excluding VAT.

The source of a term is visible

When you save, the source is written next to the terms line on the bid card: the supplier's own statement, "corrected by buyer" or "AI reading, approved". Every correction is written to the activity log as "Bid terms updated". The bid amount the supplier sent does not change.

Limits

  • Terms can be edited only after the round's envelope opens and before the tender concludes.
  • AI work has a usage limit per tender. When the limit is reached, the screen says "The AI limit for this tender has been reached"; you can continue correcting terms by hand.
