If you want to collect the price for a purchase request through a tender, open the tender from inside the request. You do not retype the items, and the tender's result is applied to the request automatically.
How to open it
- Open the request. It must be in the Collecting Quotes stage and must not have a winning quote yet.
- Click the Open as Tender button above the quotes section.
- The New Tender wizard opens. The title, currency and items (name, quantity, unit) come pre-filled from the request. Choose the format and complete the wizard as usual.
The "Linked Request" row in the tender's Tender tab takes you back to the request.
The request while the tender runs
- Until the tender ends, quote actions on the request are locked and a second tender cannot be opened from the request.
- If the tender is cancelled, the request returns to the Collecting Quotes stage. You can open a new tender or collect the price another way.
When the winner is selected
- The tender's bids are transferred to the request's quote list, the winning bid is marked and the item prices are written to the request.
- The request continues on its own path: the approval, order and invoice steps run on the request.
- When the order is ready, the winning supplier sees it on the tender page in the portal and sends its invoice from there.
A tender from a request is not split
A request is linked to a single supplier. That is why in a tender opened from a request suppliers must price every item and there is a single winner. If you want to split items among different suppliers, open the tender independently of the request.
