After a tender is published, the specification and the rules do not change. The way to give suppliers new information, a new document or extra time is an addendum: a numbered, dated, formal supplement sent to all invitees at the same moment.
When it can be published
- While the tender is live: during pre-qualification or while bids are being collected.
- Before the current round's envelope opens and before the bid deadline passes.
Step by step
- Click Publish Addendum in the Documents section of the Tender tab.
- Enter a Title (required). Example: "Change to technical specification clause 4".
- In Description, write what changed and what the supplier needs to do.
- If you want to give more time, tick the box to extend the bid deadline and choose the new date and time. The deadline can only be extended, not shortened.
- To add a new document, click Choose File.
- If it replaces an old document, mark that document in the list. The selected document is not deleted; it is withdrawn.
- Click Publish and confirm with Publish once more in the confirmation window.
An addendum must contain at least one thing: a description, a document, a deadline extension or a withdrawn document.
A published addendum cannot be deleted and its text cannot be changed. If you made a mistake, you publish the correction in a new addendum.
What happens when you publish
- All suppliers that have not declined the invitation receive a numbered email such as "Addendum No. 1: tender name". If the deadline was extended, the new date is in the email.
- The supplier sees the addendum in the "Addenda" section of the Tender Details tab in the portal. A withdrawn document appears struck through with the note "Superseded by an addendum".
- If the deadline was extended, the bid deadline reminders are rescheduled for the new date.
- The addendum and any deadline extension are written to the activity log as separate rows.
When the envelope opens, a bid submitted before the latest addendum and not updated afterwards shows a "Not updated after Addendum No. X" badge on its card. If the addendum affects price, you can remind suppliers to review their bid from the Messages tab.
Tell us what you see on screen and we will look at it together.
