Award record, activity log and cancellation

The PDF award record of a concluded tender, the record of every step and the rules for cancelling a tender.

All topics for buyers

Award record

When the tender concludes, an Award Record link appears on the result card above the Received Bids tab. The record opens as a PDF in a new tab; you can download and archive it.

  • Tender details: subject, method, currency, bid deadline, owner and pre-qualification if any.
  • Suppliers, their bids (excluding VAT) and the rounds.
  • If criteria are defined, the evaluation and the scores.
  • Award by item, the winning suppliers and the reason for the decision.

Anyone who can view the tender can download the record. No record is produced before the tender concludes.

Activity log

The Activity Log tab lists everything done in the tender with the time and who did it: creation, invite list changes, publishing, addenda, FAQ entries, ceiling changes, bid submission, updates and withdrawals, envelope openings, rounds, scores, term corrections, the decision and cancellation. Actions by suppliers appear as "Supplier".

Entries cannot be deleted or changed. The amount of a hidden ceiling is not written to this list either.

Cancelling a tender

  1. Open the three-dot menu at the top right of the tender screen.
  2. Click Cancel Tender.
  3. Confirm with Cancel Tender once more in the confirmation window.
  • Suppliers that received the invitation email and have not declined it receive a "Tender Cancelled" email. If a tender is cancelled in draft, no one is emailed.
  • In a tender opened from a request, the request returns to the Collecting Quotes stage.
  • Open tasks linked to the tender are closed.
  • A published tender still uses a free tender allowance even if it is cancelled.
Cancellation cannot be undone

No action can be taken in a cancelled tender. A concluded tender cannot be cancelled; the menu is not shown at that stage.
