When you click Start Pre-qualification, the "Tender Invitation" email goes to the suppliers on the invite list and they start answering your questions. Answers are collected in the Pre-qualification Results tab.
Approving or rejecting a supplier
- Open the Pre-qualification Results tab. Each supplier's status is shown: Pending, Approved or Rejected.
- On the row of a supplier that sent answers, click View Answers. The answers and uploaded files open in a window.
- If it qualifies, click Approve. A "Prequalification Approved" email goes to the supplier.
- If it does not qualify, click Reject and write the reason (between 10 and 500 characters).
The reason appears word for word in the "Prequalification Result" email sent to the supplier and on the tender page in the portal. Write it knowing the supplier will read it, not in personal or internal language. Example: "ISO 9001 certificate was not provided."
- A decision cannot be made until the supplier answers the questions.
- The decision is final: an approved supplier cannot be rejected later, and a rejected one cannot be approved.
- Once the decision is made, the supplier's answers are locked.
Starting the tender
- Approve at least one supplier. The "Pre-qualification in Progress" panel in the right column shows the approved, rejected and pending counts.
- Choose the bid deadline date and time in the panel. The date must be in the future.
- Click Start Tender and confirm.
Bid collection starts. The "Bidding Round Opened" email goes only to approved suppliers; those rejected and those not yet decided cannot bid.
You can also approve a supplier that sends its answers after the tender has started, from the same tab. An approved supplier can bid until the round's bid deadline.
