Auto-fill from a specification

Upload your specification and the title, description, currency, items and, in a sealed bid, suggested criteria are filled automatically.

All topics for buyers

The specification card sits at the top of step 2 of the New Tender wizard. If you have a technical specification or an item list, upload it here; you do not need to type the fields one by one. The card is optional; you can continue without uploading.

Step by step

  1. In step 2 of the wizard, drop your specification on the card or click to choose it. Readable types: PDF, Word (DOCX), Excel (XLS, XLSX) and image (JPG, PNG, WEBP), up to 10 MB.
  2. "Reading the specification…" appears. Reading can take about a minute; Continue waits during this time.
  3. When reading finishes, the card shows how many items (and in a sealed bid, how many criteria) were found. If the document mentions terms such as payment terms, delivery time, shipping or warranty, they are summarized below the card.
  4. If you want the document added to the tender file and shown to suppliers too, make sure Also attach this document to the tender is ticked.
  5. Check the filled fields and continue the wizard. If you uploaded the wrong file, replace it with Another file.

What gets filled

  • Title and description.
  • Currency.
  • Items: name, quantity and unit. They are listed in step 3; you can correct them, delete them or add new items.
  • In a sealed bid, suggested evaluation criteria. They appear in step 3 under "Suggested evaluation criteria"; delete the ones you do not want and edit the weights after the tender is set up.

What you typed is kept

If you filled a field yourself, the document does not overwrite it. The document's value stays below the field as a suggestion; click Use to apply it.

Quantities are not made up

An item whose quantity is not written in the document comes with an empty quantity and is marked with a yellow border. 1 is not filled in instead, because a wrong quantity means a wrong bid. Enter quantities while in the wizard. If you forget, while the tender is a draft an item without a quantity appears in the item list as a yellow Enter quantity; click it to enter the quantity.

Common situations

It says no items were found in the document.

The document has no readable item list. Upload a specification or Excel file that contains an item list, or enter the items by hand in step 3.

It says the file exceeds the 10 MB limit.

The limit for reading is 10 MB. Enter the details by hand and add the document to the tender file in step 3 with Upload File; the limit there is 20 MB.

I cannot upload a ZIP.

ZIP files cannot be read. Extract the specification file inside it and upload that.
