Inviting suppliers

The invite list is built in draft, and emails go to everyone at the same moment when you publish. Suppliers do not create an account or set a password.

All topics for buyers

You invite suppliers while the tender is in draft. Use the Invite Supplier panel in the right column of the tender detail.

The list changes only in draft

After the tender is published or pre-qualification starts, no new supplier can be added and no one can be removed from the list. Complete the list before publishing.

Inviting a registered supplier

  1. Type the company name in the Search supplier… box and pick it from the list.
  2. Choose the person the invitation goes to from the Contact Person list. The invitation is sent to this person's email address.
  3. Click Add to List. The company is added to the Invited list with the "Sent on Publish" label.

If the company has no registered contact, the panel shows "This supplier has no registered contact". Add a contact with an email address to the company's record on the Suppliers screen and try again.

An unregistered supplier: Quick Add

  1. Click the Quick Add button at the top right of the panel. If the search box has no match, the "Quickly add as" row that appears opens the same window.
  2. Enter the company name, tax number (10-digit VKN or 11-digit TCKN; for a foreign company, tick the box and enter it in free format) and category.
  3. Enter the contact's name and email address. Title and phone are optional.
  4. Add and Select saves the company to your supplier list and selects it in the panel. Then click Add to List.
Good to know

If a company is already registered with the same tax number or the same email domain, a second record is not created; the form directs you to the existing record. If a company with a similar name exists, it only warns you.

When invitations are sent

Adding to the list does not send an email. Invitations go to everyone on the list at the same moment when you publish the tender or start pre-qualification. That way the company you add on Monday and the one you add on Thursday get the same preparation time.

A company you remove from the list while in draft never hears about the tender, because nothing was sent to it. To remove it, use the cross on the company's row.

What the supplier needs to do

  • It does not create an account, set a password or install software. It enters the portal directly with the Submit Bid button (in a tender with pre-qualification, Answer the Questions) in the "Tender Invitation" email.
  • On later visits, it types its email address on the supplier portal sign-in page and receives a one-time sign-in link.

For the screens the supplier sees: The invitation email and first sign-in.

Invitation statuses

StatusMeaning
Sent on PublishAdded to the list in draft; the email has not been sent yet.
InvitedThe email was sent; the supplier has not opened the tender yet.
ViewedThe supplier opened the tender in the portal.
Bid SubmittedThe supplier sent its bid.
DeclinedThe supplier declined the invitation. If it gave a reason, it appears on the row.
How many suppliers

The pre-publish check warns you when you invite fewer than 4 suppliers. The number of invitees is the strongest driver of competition.

Good to know

An email address belonging to a buyer account on talep.io cannot be invited as a supplier.
